WhatsApp Business API vs WhatsApp Business App
These are two different products with confusingly similar names, and picking the wrong one wastes months. The WhatsApp Business app is free software you install on a phone and operate by hand. The WhatsApp Business API has no app at all — it is an interface your software talks to, reached through a platform, and it is always paid.
Short answer: if one or two people can handle every conversation by hand, use the free app — it costs nothing and does that job well. The moment you need several people answering one number, automation, broadcasts beyond your saved contacts, or WhatsApp connected to your other systems, the app cannot do it and the API is the only route.

The three limits that push people off the free app
Broadcasts only reach people who saved your number
This is the one that surprises everyone. A broadcast list in the free app caps at 256 recipients, and WhatsApp delivers it only to contacts who have your number saved in their phone. Send to 200 customers and it may reach forty of them, with no error to tell you. Template messages on the API have no such rule.
Only one person can really answer
Linked devices let a few screens see the same chats, but there is no assignment, no internal note, and no way to know who is replying. Two people answering the same customer from the same number is a matter of luck.
Nothing connects to it
The app is a closed box. Your CRM cannot read those conversations, your order system cannot trigger a message, and nothing can be automated beyond a greeting and an away message.
Common questions
- Is the WhatsApp Business API free?
- No. The free product is the WhatsApp Business app. The API always costs money: a platform subscription to whoever provides your access, plus Meta’s own charge on the template messages you send. There is no free tier of the official API itself — trials come from platforms, not from Meta.
- Can I use the WhatsApp Business app and the API on the same number?
- Not in the ordinary way — a number registered on the API cannot also be used in the app, because the API takes over the number. Meta’s Coexistence feature does allow a number to run in both at once, but it has its own onboarding and is not the default. Most businesses either move a number to the API or keep it on the app.
- Do I lose my chat history when moving to the API?
- Yes, in the general case. Moving a number to the API registers it fresh, and the conversation history in the app does not come with it. Export anything you need first. This is one reason many businesses start the API on a new number and leave the old one running on the app.
- Which one gets the green tick?
- Only the API. The green checkmark marks an Official Business Account, and applying for it requires a verified Meta business and API access. The free app cannot apply at all.
If the API is what you need
There is one more choice after this one: the official Cloud API, or a QR-linked WhatsApp Web session. They are priced and metered differently, and the right answer depends on whether you are messaging warm contacts or reaching new ones.
